MAMS: Confirmed Cancellation Procedure
4. Reply all to Finance’s email to confirm that you have completed cancellation steps on your end.
Canceling TLS App, Email, Website and/or Online Ordering Programs:
Only follow these steps AFTER Carleen/WebDev have completed their cancellation steps.
A. Canceling an EMAIL Program in EMMA
- Select that subaccount from your dropdown menu, and go to their Audience. Go to Segments. Open the “Export LF Excluded” segment and make sure that it includes all groups EXCEPT FOR Local Flavor. Once updated and saved, please export this segment. Please name this file as “BusinessName_LFExcludedExport_Date” and save it. You will later send this file to your merchant in step 10. Please remember to delete this file after you send it to the merchant.
- Under the Audience tab, under FORMS on the left, click the downward-pointing arrow next to each active signup form (Lightbox & Signup), and select Archive to deactivate and delete each one.
- Next, go to their Automation page, and Deactivate each active automated workflow. Do not delete – simply deactivate.
- Under the Campaigns tab, click on the Scheduled tab and cancel any scheduled mailings.
- Click on the downward pointing arrow beside your name in the top right hand corner. Click Account. Under the Basics tab, please add “CANCELLED” after the business name and before the account number. (ie; Business Name – CANCELLED – Account# | Category | Program Type). Please make sure the word CANCELLED goes AFTER the business name so it can stay in alphabetical order. Click Save.
- Click on the “USERS” field on your left and delete the MERCHANT user (if applicable).
*Note: Do not delete AX users or INTERNAL TLS users. We give AX access to all of our accounts and if they get deleted in one account, they get deleted altogether. Same goes for any of our internal user accounts. No need to delete ours (even if they are cancelling). We only need to remove the merchant user(s). - If they have a TLS website, please remove any traces of their email club verbiage or sign up from the website.
- If they have a TLS App, please remove the email sign up form URL if applicable.
- Find their email in the TLS Customer Service Emma account and change their subscription from Active to ERROR (DO NOT change them to opt out).
- Send an email to your merchant with the verbiage below. Please make sure you attach their LF Excluded Export file from Step 1.

Please remember to remove any TLS email sign up forms you may have from your social media or website. Thank you!
11. Add notes in Appflow that you have taken the steps above & update/edit AF program tag (removing Email).
B. Canceling an APP Program in CMS
- Under “Push Message” click on “Push Message Report”, and delete any pre-scheduled push messages.
- Under “Users” please delete all users.
- Under “App Settings” remove all verbiage in the Title, Description, and Extra text fields and add this verbiage to the Description text field. Please make sure the Description text color chosen will appear on the home screen. – “Please be aware that this App is no longer active.”. If your account has the interactive home screen buttons, please remove the coding from the text fields and replace with our usual cancellation verbiage above.
- Under “Status” edit the name to “Business Name: INACTIVE”.
- Under the URL module, check for any TLS created Wufoo forms. If the merchant is using any, please login to Wufoo and add “:INACTIVE” to the end of the form name and also make it Private.
- Under “Module Settings” disable all enabled modules.
- Under “Build” enter the verbiage “Please be aware that this App is no longer active.” into the “What’s New” content field, check the Force Build option, and click Publish Content.
- If they have EMAIL: Please make sure to remove all mention of the App in all applicable proofs in their email automations.
- If they have a TLS website, please remove any App related information from their website.
- If they have TLS OO, please update any marketing material to exclude anything App related.
- Find their email in the TLS Customer Service Emma account and change their subscription from Active to ERROR (DO NOT change to opt out).
- Send an email to your merchant with the verbiage below. Your TLS App program has been successfully cancelled. Please take a few minutes to help us by completing this short exit survey (https://clipperdigital.wufoo.com/forms/x11w0alh0cjqeif/). Thank you!
- Add notes in Appflow that you have taken the steps above & update/edit AF program tag (removing App).
C. Canceling a TLS OO Program
- Pause their online ordering by going to the Zuppler control panel, going to the “Profile” tab and choosing to pause indefinitely.
- Find their email in the TLS Customer Service Emma account and change their subscription from Active to ERROR (DO NOT change the to opt out).
- Please confirm that Finance/Mandi are aware that TLS OO is cancelling. Mandi will cc the MAM on her email to Zuppler to confirm cancellation. Once you receive that email, and Finance has cancelled, please go ahead and send this email to your merchant:

Please remember to remove any TLS Online Ordering options from your Website or Google Business Listing.

4. If they have an App, please remove their Zuppler Online Ordering URL and replace with any other current/live online ordering URL’s they have, or add the Menu module back into the App so their is access to a menu, and do a Force Build. Please also remove any Zuppler Online Ordering content from their marketing material if applicable.
5. If they have a TLS website, please remove their Zuppler Online Ordering URL from their website if applicable and replace with any other current/live online ordering URL’s they have, or add their menu onto the website so their is access to a menu.
6. Add notes in Appflow that you have taken the steps above & update/edit AF program tag (removing TLS OO).
D. Canceling a TLS Website Program
- Ask WebDev to confirm that they have done all three things: Shut down the website, removed the website from totalloyalty.com, and removed you from getting any further monthly reporting emails. (you can remove the site from totalloyalty.com and stop the reporting at your own convenience if you wish – steps listed below)

On the main screen, where the accounts are listed, find the account you wish to stop reporting for, click the “3 dots” icon next to it on the right, and click “Remove”
B. HOW TO REMOVE WEBSITE FROM THE TLS WEBSITE:

Go to “Pages”
Search “Website Services”
Under “Samples” header, hover over the website you wish to remove
Click the red minus button (to the right)
Scroll to the top and hit “Update”- Find the merchant’s email in the TLS Customer Service Emma account and change their subscription from Active to ERROR. (DO NOT change them to opt out)
