How to Submit LCC Copy

HOW TO CREATE A LCC/CUSTOM EMAIL:

  1. Go to Trello and create a new card by duplicating the template card
    1. Insert all applicable information within the template card
    2. Complete the word doc template attached to the card
    3. Attach any/all applicable images/files
    4. NOTE: Please make sure that your instructions and images are clear to understand and identify
  2. Move Trello card to Somer’s column
    1. Place in order of priority (top will be done first, bottom will be done last)
    2. Somer will determine if she will do the email creation or send over to AffinityX

IF SOMER CREATES THE EMAIL:

  • Once completed, she will send the proof to Review and move the card to your column (you will get a notice when she does this) NOTE: If you are covering, you will not get the alert so you will need to check periodically)
  • If you need any revisions, you can email Somer to complete (please keep trello card in her column if she needs to make revisions

IF AFFINITYX CREATES THE EMAIL:

  • Somer will tag the card with a pink Affinity X tag and move it to the AffinityX column in order of priority (the order it was placed in her column)
  • Once AffinityX creates the email they will send it to Review along with a delivery notice email (You will need to watch the Review inbox for this)
  • You can track the status of the email at any time by logging into the IDEA system and going to “All Orders” and selecting “All Items”
  • Once completed, you will move the card out of the AffinityX column and into your column as completed

IF YOU HAVE ANY REVISIONS TO AN AFFINITYX EMAIL:

  • Click into the job within the IDEA System and click REVISE
  • You will need to select if the revision was a Customer Change or Pending Error
  • Add your changes into the notes section.
  • If the changes are complex you can create a word document with revisions and attach it making reference to it in the notes section
  • You can also upload more images/files if needed
  • Once complete, you can click SUBMIT

IF YOU HAVE CHANGES TO AN AFFINITYX EMAIL THAT IS IN PROGRESS:

  • Find the email address at the top right corner of the IDEA System page
  • Include the UTN# of the job along with your revisions, updates, or applicable images/files
